Who we are
Information we handle
- Swimmer journals: names, optional birthdays and competition categories, technique ratings and focus, practice schedules and check-ins, race and practice times, splits, meets and their events, heats, lanes and seed times, race reminders and packing lists that you provide.
- Lesson notes: coach names, lesson dates and durations, costs, feedback, cues and homework.
- Family records: volunteer hours and the hours your team assigns.
- Imported files: heat sheets, psych sheets, meet announcements, times reports and screenshots you choose are read on your iPhone, including files you send with the SwimParent share extension; the files are not uploaded. We keep your swimmer’s events and times, and for your swimmer’s own heats, the lane list as printed on the heat sheet (names, ages, teams and seed times of the swimmers in those heats) so you can see who swam beside them. Nothing else from the file is kept. Heat sheets list other swimmers, so please don’t send them to us.
- Videos: clips you select or record, related details and review notes. Cloud backup is optional and part of Pro. To suggest where a race starts, the app listens to the clip’s sound for the start beep on your iPhone; the sound isn’t uploaded.
- Accounts: an account is required. You can sign in with an email address and password, Sign in with Apple, or Google. Firebase Authentication handles your email address (or Apple’s private relay address), name if shared, and sign-in provider.
- Purchases: verified Apple subscription information and a derived account identifier used to associate Pro with your account. Apple handles payment details; we do not receive your payment-card number.
- Reminders: practice and meet notifications are scheduled on your iPhone.
- Website requests: your email address, selected topic, message, adult confirmation and any launch-update preference you submit.
- Service information: hosting and service providers may process IP addresses, timestamps, browser/device details and operational logs to deliver and protect their services.
How we use information
Storage and service providers
Account permissions restrict access to cloud records. No system is completely secure, and Swim Parent Note does not claim end-to-end encryption. This website includes no advertising pixels or third-party analytics scripts. We do not use advertising cookies. Hosting and form providers may use technical measures for service delivery and abuse prevention.
Retention and deletion
You can delete your account in the app under Settings → Account → Delete account…. This removes the account’s swimmer profiles, journals, backups and uploaded videos. Local data on the requesting device is removed after the server accepts the request. Offline devices must reconnect before they can receive deletion status. A minimal deletion-status record, including an account identifier and timestamps, is retained to prevent stale writes and late uploads from recreating deleted content. It has no scheduled expiry and is not a copy of your journal.
You can also contact us through the support form to request deletion or assistance. Website requests and launch subscriptions are kept while needed to respond or provide the updates you requested, subject to legal and security needs. You may request their deletion. Exported copies outside Swim Parent Note are not under our control. Deleting an account does not cancel Apple subscription billing. When Pro expires, new uploads stop; existing cloud copies remain available to download. Any future expiration-based cleanup policy will be announced at least 30 days in advance with an opportunity to export.
Your choices and rights
Depending on your location and applicable law, you may also have rights to portability, restriction or objection to processing, withdrawal of consent, and a complaint to your local data-protection authority. We handle requests according to applicable requirements and will explain any limits that apply.
Children’s information
If you believe a child has directly provided information without appropriate authorization, contact us so we can investigate and address it. A statement in this policy does not replace any consent or safeguards required for a particular use of the service.
